Facilities Work Orders - Submit a Ticket and Priority System

  • Submit a Maint Ticket for work orders related to facilities maintenance, such as plumbing, electrical, custodial, alarm systems, or grounds work.
     
    If your request isn't related to routine building or grounds maintenance we consider it a special project request. 
    For example, if you're creating a new computer lab or media center, adding a garden or turf, or you're simply wanting to reconfigure building space ... we encourage you to submit a SPECIAL PROJECT REQUEST for a survey of electrical wiring, plumbing and other infrastructural needs.  Special Project Request
     
    The Maintenance and Grounds Team's ability to provide optimal customer service relies heavily on a work order priority system. All work requests are processed and classified into one of three priority levels.
    We will accept phone calls for emergencies. However, all other requests should be submitted through the SchoolDude Work Order System. The priority of a work order is established based on the following criteria.

    EMERGENCY - 

    Emergency repair work will be acted on within a matter of hours. Examples include reported gas orders, power failures, sewer issues, natural disasters, and fire.  The On-Call telephone number is 719-491-4518.  This cell phone accepts telephone calls and texts.

    Priority 1 – High

    These types of situations are issues that delay or interrupt the educational process. Examples include no heat during cold weather or cooling during hot weather, serious roof leaks, clogged sewers or restrooms, security problems or partial loss of light or power. Our goals with priority 1 work orders are to have them completed or an action plan in place complete within 48 hours.

    Priority 2 – Medium

    Routine services are those which can be scheduled based on the availability of manpower and planned with enough time to order and receive materials and parts. Examples are repairs, general maintenance, routine electrical, PA system repairs, clocks, alarms, keys and locks, painting, carpeting repair or cleaning, or roof patching. Often times parts and supplies are needed and must be ordered to complete the work order. As a result, low priority work orders should be completed or an action plan in place to complete within 10 working days.

    Priority 3 – Low

    These types of situations are issues that are routine and can be completed according to the Facilities department schedule
